This article gives step-by-step instructions for transferring data between semesters, such as teachers, home groups, subjects, classes and enrolments.

Transferring this data from your pervious Quick Vic database can save you a lot of time when setting up for the new semester's reports.

Overview

Export the required data from the Semester 1 database via the export utility. Use database utilities to create (or select) the new database, and import the data into the Semester 2 database via the import utility.

Instructions

    1. Export (create) the CSV files from the semester 1 database using the export CSV files utility.
      • In Central Reporting System click File -> Export -> CSV Files.

      • Tick the Export Teachers box and enter the path and file name of your choice to create the Teachers CSV file.

      • Repeat this for Home Groups, Subjects, Classes and Enrolments, entering the path and file name of your choice to create the respective files.

      • Click the Export button.

  1. Create a new database for Semester 2
    • See section 1.3 of the training notes for instructions on creating a new database.
    • Import the Student XML file from CASES21.
    • See section 1.5 of the training notes for instructions on importing the Student XML file into the Quick Vic Reporting database.
  2. Using the import CSV file utility, import the files created in Step 1.
    • In Central Reporting System click File -> Import -> CSV Files.
    • Tick the Import Teachers box and enter the path and file name of the Teachers CSV file created in step 1.
    • Tick the Import Home Groups box and enter the path and file name of the Home Groups CSV file created in step 1.
    • Click the Import button.
    • Before proceeding with the other CSV files, if your school is using Home Group Summary Subjects, enter the Quick Setup Screen and from the Generate menu, click "Generate Home Group Summary Subjects".
    • Continue the CSV import for Subjects, Classes and Enrolments.
    • Click the Import button.
  3. Continue the remaining database setup steps (section 2.1 onwards) following the Report Coordinator Training Notes.
