This article gives detailed instructions for setting up the Quick Vic database when two teachers share a single class.

Overview

Although most classes have a single teacher, there are a significant number of classes which may have two or more teachers, for example, job sharing.  Quick Vic Reporting is designed so that each class may only have a single class file. This raises 2 separate questions:

  1. If Quick Vic Reporting only allows one class file to be created for each class, how can multiple teachers write the reports for the same class of students?
  2. By default, only one teacher's name will print on a student's report. How can we get more than one teacher's name to print on the reports?

Follow the steps below to decide on the best approach for your school to take:

    1. If Quick Vic Reporting only allows one class file to be created for each class, how can multiple teachers write the reports for the same class of students?

As previously mentioned, Quick Vic Reporting only allows one class file to be created for each class. Assessment Writer will prevent multiple copies of the same class file from being updated into the database. In this scenario, there are really 2 options for how your school deals with this:

a)
      Allocate the class to
one
      of the multiple teachers (or to a fictitious teacher as outlined in step 2). At report writing time, the multiple teachers then collaborate to write the report together while at the same computer.

b) The other alternative to collaborating is again to allocate the class to one of the multiple teachers (or to a fictitious teacher as outlined in step 2). Teacher 1 would then write his/her section of the report, update the results into the Central database, and then give the class file to Teacher 2 (moving the class file onto a USB memory stick and then giving the USB memory stick to Teacher 2 works best). Teacher 2 then writes his/her section of the report and updates the results into the Central database.

    1. By default, only one teacher's name will print on the student's report. How can we get more than one teacher's name to print on the reports?

Again, there is more than one option for how your school deals with this:

a) Small schools (where there is only one class of students per year level) can simply open the relevant report template and type both teachers' names onto the report template. To do this:

      • Open the Central Reporting System
      • Click on the Report Production Setup icon
      • Click on the Primary Summary yellow portion folder (assuming it is the Home Group summary report which has the multiple teachers)
      • Click on the Subjects tab at the bottom of the screen
      • In the template column, double click on the appropriate template name (the Home Group summary subjects have template names of PrimSumm_00HG.dot, PrimSumm_01HG.dot, etc).
      • Scroll down the page to the section where the teacher's name fields are inserted e.g TchTitle and TchSurname. Highlight and Delete these fields.
      • Then type in the names of the multiple teachers e.g Mr John Smith and Mrs Jane Smith.
      • Close the template, saving the changes.
b)
      Larger schools (where there is
more than one class
      of students per year level) need to take a different approach. This involves creating a fictitious teacher name that is a composite of the multiple teachers' names.
      • Open the Central Reporting System
      • Click on the Create a new teacher icon
      • Enter a fictitious teacher code (perhaps a composite of the 2 teachers initials)
      • In the Surname field, enter the Surname of Teacher 1 e.g Smith followed by the word "and" , then the full name of Teacher 2 e.g Mrs Jane Smith.
      • In the Given Name and Preferred name fields, enter the Given Name and Preferred name of Teacher 1 e.g John.
      • In the Salutation field, enter the Title of Teacher 1 e.g Mr
      • Close the Teacher's record, saving the changes.
      • Allocate the fictitious teacher to the appropriate class and export/download the class file.

At report printing time, the program will print the fictitious teacher's name of the report - which in reality will be the full names of the 2 teachers.
